1. Terms Overview

Invoice Otter ("Invoice Otter," "we," "our," or "us") is operated by Invoice Otter LLC and made available through invos.app, invoiceotter.com, and related application experiences. This page governs your use of the service and explains how we collect, use, share, and protect information.

Invoice Otter is a business application that helps users create invoices and quotes, manage customers and items, collect payments, track expenses, run bookkeeping workflows, use optional AI-assisted tools, and optionally schedule work orders through Google Calendar.

By creating an account, signing in, connecting third-party services, or otherwise using Invoice Otter, you agree to the terms on this page.

2. Eligibility and Acceptable Use

You must be at least 18 years old and use Invoice Otter only for lawful business or professional purposes.

  • You may use the service to create and manage invoices, quotes, clients, items, work orders, payments, recurring billing settings, expenses, and bookkeeping records.
  • You may use Stripe-powered payment features and optional AI assistant features when those features are enabled for your account.
  • You may not use the service for fraud, unlawful activity, infringement, abusive automation, credential misuse, or any activity that interferes with the service or other users.

3. Accounts, Authentication, and Security

  • You are responsible for account security and activity under your login.
  • Invoice Otter currently supports Google Sign-In for authentication and may use secure sessions, cookies, and related security controls to keep users signed in.
  • We may suspend or restrict accounts for abuse, fraud, unlawful activity, security issues, platform misuse, or unresolved payment issues.
  • You are responsible for the accuracy of information you enter into invoices, quotes, payment records, bookkeeping records, and connected-service workflows.

4. Subscriptions, Billing, and Stripe

  • All accounts start on a free plan with up to 3 clients and no AI access.
  • The paid plan is billed at $10/month via Stripe subscription billing and unlocks AI plus unlimited clients.
  • You can manage or cancel your subscription from account settings.
  • Fees are generally non-refundable unless required by law.
  • Invoice Otter does not add a separate platform transaction fee to normal invoice card payments beyond your plan price; standard Stripe fees still apply where Stripe is used.

Invoice Otter uses Stripe for invoice card payments and subscription billing. Invoice card payments can pass Stripe processing fees through to customers based on Stripe's standard pricing schedule, or can be absorbed by the business based on account settings.

Stripe Connect and Payouts

When your Stripe account is connected and enabled, payment processing and payout routing use your connected Stripe account.

Instant payout workflows may include a platform application fee of 1% (or $0.50 minimum), and Stripe may apply additional fees, account requirements, limits, or risk controls based on your Stripe relationship and region.

Payout timing depends on Stripe settings, eligibility, and banking rails. With eligible instant payout configuration, funds can arrive in minutes.

5. Google Sign-In and Google Calendar Data

Invoice Otter uses Google APIs for two separate purposes: account authentication and, only if you choose to connect it, Google Calendar work order scheduling.

Google Sign-In

When you sign in with Google, Invoice Otter requests the scopes openid email profile. We use this access to authenticate you, identify your account, and create or link your Invoice Otter account.

For sign-in, we may receive and store your Google account email address, your Google account identifier, and basic sign-in metadata needed to maintain account access and security.

Optional Google Calendar Connection

If you explicitly connect Google Calendar for work order scheduling, Invoice Otter requests the scope https://www.googleapis.com/auth/calendar.events.owned.

We use that scope only to create, update, and delete Google Calendar events that represent your Invoice Otter work orders on your own calendar. We also store related event metadata, such as the Google event ID, calendar ID, event link, synchronization timestamps, and connection tokens needed to keep that workflow working.

When you schedule or sync a work order, Invoice Otter may send Google the event title, job address, scheduled date and time, notes, and internal quote reference data needed to create or update the event.

Invoice Otter does not use Google user data for advertising, does not sell Google user data, and does not request access to Gmail, Google Drive, Google Photos, Google Contacts, or other Google services unrelated to sign-in and optional calendar scheduling.

If you do not connect Google Calendar, Invoice Otter does not access your calendar data.

6. Information We Collect

  • Account identity, authentication data, and session metadata.
  • Business profile information (name, address, phone, logo URL, preferences).
  • Client, invoice, quote, item, payment, expense, recurring, and bookkeeping records.
  • Work order scheduling data, including job addresses, schedule dates and times, and linked Google Calendar event metadata if you use that feature.
  • Email send metadata for operational tracking (for example, send and first-view timestamps).
  • Optional AI assistant prompts, tool actions, chat history, and uploaded ingestion documents.
  • Support, billing, troubleshooting, and fraud-prevention communications.

7. How We Use Information

  • Provide core Invoice Otter functionality and account operations.
  • Generate printable/PDF documents and support branded output.
  • Process subscription and payment workflows.
  • Send transactional notifications and document emails.
  • Provide optional AI assistant capabilities and related tooling.
  • Create, sync, update, or delete Google Calendar work order events when you enable that feature.
  • Protect platform security and reduce abuse/fraud risk.
  • Respond to support, legal, deletion, and data-rights requests.

Invoice Otter does not sell personal data.

8. Sharing and Service Providers

We share information only as needed to operate the service, process transactions, provide the features you request, comply with law, or protect rights and safety.

  • Stripe for subscriptions, card payments, Stripe Connect, and payout workflows.
  • Google Identity for sign-in and Google Calendar for optional work order scheduling.
  • Cloudinary (asset and document upload/storage workflows)
  • MongoDB Atlas (data storage)
  • Mailjet (transactional email delivery)
  • OpenAI (optional AI assistant features)

We may also disclose information if required by law, subpoena, court order, or similar legal process, or when reasonably necessary to investigate fraud, enforce our terms, or protect users and the service.

9. Data Security and Protection Mechanisms

We use administrative, technical, and organizational safeguards designed to protect personal and sensitive data against unauthorized access, disclosure, alteration, and destruction.

  • Encryption in transit: Data sent between your browser, our application, and integrated providers is transmitted over HTTPS/TLS.
  • Infrastructure and storage protections: We use established service providers (including MongoDB Atlas and Cloudinary) that provide platform-level security controls such as encryption and environment hardening.
  • Access controls: Access to production systems and data is limited to authorized personnel and service accounts that require it to operate, secure, and support the service.
  • Authentication and session controls: User access is authenticated through Google Sign-In and managed through secure session handling.
  • Provider and third-party controls: Payment data is processed by Stripe, and we do not store full payment card numbers on our servers.
  • Monitoring and incident handling: We maintain logging and operational monitoring and investigate suspected abuse, fraud, and security issues.

No system can be guaranteed to be 100% secure, but we work to maintain safeguards appropriate to the nature of the data we process and update controls as our service evolves.

10. Data Retention

We retain account and business data for as long as needed to provide the service, maintain legitimate business records, resolve disputes, enforce agreements, and meet legal, accounting, tax, security, and fraud-prevention obligations.

When you request deletion, we will delete or de-identify information we are not required to keep, subject to technical, contractual, and legal constraints.

11. Your Rights, Choices, and Account Deletion

  • Request account and data access details.
  • Request correction of inaccurate account information.
  • Request support for data export, connected-service token removal, or account closure.
  • Revoke Google access directly from your Google account permissions page if you no longer want Invoice Otter connected to Google.

Account Deletion

You can initiate account deletion from Account Settings inside the app, or you can email hello@invoiceotter.com from the email address associated with your Invoice Otter account. We may request reasonable verification before processing deletion.

Account deletion may remove your invoices, quotes, clients, expenses, work orders, uploads, chat history, and connected-service tokens, subject to records we must retain for legal, accounting, tax, payment, fraud-prevention, or dispute-resolution purposes.

If you use the in-app deletion flow and have a paid subscription, Invoice Otter will attempt to cancel that subscription before deleting the account. If you request deletion by email, include your account email and mention any active subscription.

12. California Privacy Rights

If you are a California resident, you may have rights under the California Consumer Privacy Act (CCPA/CPRA), including rights to know, delete, and correct personal information, subject to legal exceptions.

Invoice Otter does not sell personal information.

13. Children's Privacy

Invoice Otter is not directed to children and is intended for adult business users. We do not knowingly collect personal information from children under 13.

14. Disclaimers, Liability, and Termination

  • Invoice Otter is provided on an "as is" and "as available" basis.
  • We do not guarantee uninterrupted or error-free service.
  • Our aggregate liability is limited to fees paid by you to Invoice Otter in the preceding 12 months.
  • You may stop using Invoice Otter at any time. We may suspend or terminate access for terms violations, fraud, abuse, security concerns, or unpaid balances.

15. Changes to This Page

We may update this page from time to time to reflect product changes, legal updates, security needs, or review requirements from app stores or connected platforms. The updated version becomes effective when posted here.
